Challenge

As a provider of business support services to a range of clients both locally and internationally, Nimbus realised that its predominantly paper-based processes were as efficient as they could be, but were becoming a bottleneck to growth. Nimbus were keen to explore how it could use technology to deliver more efficiencies to the business and serve its clients even better. At the same time however, it was hesitant to enlist the support of a third-party due to a negative experience previously which had been very disruptive to the business and failed to deliver any notable efficiency improvements. 

As a small business with very specific working practices, Nimbus needed the reassurance that a transformation partner would take the time to understand how the company worked and how that fed directly into the value it provided to its clients. It did not want someone to come in and impose a one-size-fits-all solution which could potentially jeopardise the quality of its services, and ultimately, put the reputation and future standing of the company at risk.

Solution

Nimbus initially challenged Phoenix with developing solutions to automate its hotel bookings process. Taking account of the company’s concerns and prior experiences, Phoenix began the project in listening mode; learning how the hotel bookings process worked and offering iterative suggestions for improvements that could be made. This was an important step in earning the trust of Nimbus management and administrative staff. 

As efficiencies were realised so quickly – sometimes immediately – and as the company became more familiar with the tools at its disposal, the scope of the project soon expanded beyond the hotel bookings process to include the management of a client’s online learning academy and assessments processes, and the development of a fully digital process for managing a client’s product trials:

Phoenix automated the hotel booking process significantly to streamline operations and reduce manual effort, allowing key account managers to focus on more strategic tasks

Nimbus operates a training academy for a company based in Sweden. This involves the management and distribution of educational content, booking candidates into training sessions, taking assessments, marking and distributing results, and more.

Phoenix was able to improve the learning experience for clients significantly by making learning materials more readily available, simplifying the bookings process for assessments and automating the assessment itself so that results could be delivered to clients instantly

Nimbus manages a product trials service for one of its clients. Phoenix worked with Nimbus to create an entirely digital end-to-end process, whereby products could be dispatched and picked up, with reminders automatically sent out when products became overdue.

Phoenix also created a dashboard to show the status of all current product trials, significantly reducing the management overhead and providing a much easier way for Nimbus to provide updates to the client

The digital transformation service that Phoenix provided for Nimbus encompassed the following services:

  • Envisioning: collaborating with Nimbus to map out their digital transformation journey, identifying areas for improvement, and setting clear goals
  • Enablement through training and consultancy: providing end-user adoption workshops, face-to-face classroom training, and technical implementation support for Microsoft 365 applications such as Power Automate and SharePoint Lists, in addition to Adobe Acrobat Sign
  • Proof of concept: Phoenix implemented proof of concept (PoC) builds to test and refine new processes, ensuring they met the company’s needs, before they were deployed

The majority of admin tasks were reduced by 60% overnight, while the new Product Trials system reduced admin by 50%

Automating processes allowed Nimbus to focus on strategic tasks and improve service to customers

Clients experienced an improved and faster service from Nimbus, and the company gained positive feedback from their key customers

By better utilising products that Nimbus already had (such as Microsoft 365 and Adobe DC), the transformation was very cost-effective

The significant efficiency gains not only freed up resources for additional client work, but the improvements caught the eye of Nimbus’s clients, opening up discussions around additional services they could offer

With the local council offering grant funding for digital transformation projects, Nimbus was able to take advantage of the support available to fund part the initial project with Phoenix
